This Privacy Policy explains how Court Clerk Technologies, Inc. (“we,” “us,” or “our”) collects, uses, and protects personal information when you use Court Clerk (“Service”).

2. What We Collect

  • Account Data: Name, email, and authentication identifiers provided via Clerk.
  • Case & Document Data: Files you upload, transcriptions, embeddings, metadata you enter, AI outputs you accept, and share links you generate.
  • Usage & Device Data: Logs, IP addresses, timestamps, and product actions for audit, security, and analytics purposes.
  • Billing Data: Managed by Stripe; we store subscription status and plan details, not full payment card numbers.

3. How We Use Data

  • Provide and improve the Service (OCR, indexing, search, AI guidance, exports).
  • Authenticate users, secure accounts, and prevent abuse.
  • Send transactional communications (share links, processing updates, billing notices).
  • Analyze usage trends to improve quality and reliability.
  • Comply with law and enforce our Terms of Service.

4. Processors & Transfers

We rely on trusted sub-processors to run the Service, including:

  • Clerk (authentication)
  • AWS S3 (file storage)
  • OpenAI (AI processing; prompts may include snippets of your text)
  • Upstash/Redis (queues and caching)
  • Stripe (billing)
  • Resend (email)
  • Neon/Postgres with pgvector (database)

Data may be transferred and processed outside your jurisdiction. We implement reasonable safeguards, including encryption in transit and at rest, access controls, and monitoring.

5. Your Choices

  • Access, correct, or delete your data via account tools or by contacting support.
  • Export your data upon request.
  • Opt out of non-essential communications.
  • Close your account to stop further processing (subject to legal obligations).

6. Data Retention

We retain personal data as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Deleted documents may persist in backups for a limited period.

7. Children

The Service is not directed to children under 13 (or the age required by local law). If you believe a child has provided personal data, contact us so we can delete it.

8. Security

We employ administrative, technical, and physical safeguards. No method of transmission or storage is 100% secure; you also share responsibility for protecting your credentials and devices.

9. CCPA/GDPR Rights

Depending on your location, you may have rights to access, delete, or port your data, object to processing, or lodge a complaint with a supervisory authority. Contact us to exercise these rights.
